Essential Email – Setting Up Email on an iPhone
Applies to: iPhone running iOS 27
Account type: IMAP
Incoming mail server: mail.hostedemail.com
Outgoing mail server: mail.hostedemail.com
This guide explains how to add your Essential Email account to the built-in Mail app on an Apple iPhone.
Before you begin, make sure you have:
-
Your full email address
-
Your email account password
-
An active Wi-Fi or mobile data connection
Important: When entering your email address or username, always enter the full email address in lowercase.
1. Open the Mail account settings
Open Settings on your iPhone.
Scroll down and tap Apps.
Scroll through the list of applications and tap Mail.
Tap Mail Accounts.
Then tap Add Account.
2. Choose manual account setup
The Add Account screen will ask for your email address.
For an Essential Email account, do not enter your email address on this screen.
Instead, tap choose from a list underneath the email address field.
On the list of available account providers:
-
Tap Add Other Account...
-
Tap Mail Account
This allows the Essential Email server details to be entered manually.
3. Enter your account details
Enter the following information:
Name
Enter your name as you would like recipients to see it when you send email.
For example:
John Smith
Email
Enter your complete email address in lowercase.
For example:
john@example.com
Password
Enter the password for your email account.
Passwords are case-sensitive, so make sure uppercase and lowercase characters are entered correctly.
Description
Enter a name that will help you identify the account on your iPhone.
For example:
Business Email
or:
John's Email
Tap Next to continue.
4. Select IMAP
When asked to choose between IMAP and POP, select:
IMAP
IMAP is recommended because your email remains synchronised with the mail server and with any other computers, phones or tablets on which the account is configured.
5. Configure the Incoming Mail Server
Under Incoming Mail Server, enter:
| Setting | Value |
|---|---|
| Host Name | mail.hostedemail.com |
| User Name | Your complete email address in lowercase |
| Password | Your email account password |
For example, if your email address is john@example.com, your username should also be:
john@example.com
Do not enter only the part before the @ symbol.
6. Configure the Outgoing Mail Server
Under Outgoing Mail Server, enter:
| Setting | Value |
|---|---|
| Host Name | mail.hostedemail.com |
| User Name | Your complete email address in lowercase |
| Password | Your email account password |
Important: A username and password are required for the outgoing mail server. Do not leave these fields blank, even if the iPhone indicates that they are optional.
Your outgoing mail server password is the same password used for your email account and is case-sensitive.
7. Verify the account
After entering all of the incoming and outgoing server information, tap Next.
Your iPhone will display:
Verifying
while it connects to the Essential Email servers and checks your account details.
This may take a few moments.
If verification is successful, the account options will be displayed.
8. Choose what to synchronise
Ensure Mail is enabled.
You may also see an option for Notes.
-
Mail – leave this enabled
-
Notes – this can be enabled or disabled according to your preference
Tap Save.
Your Essential Email account has now been added to your iPhone.
Checking your email
Open the Mail app.
Your new account should now appear under Mailboxes.
You should be able to:
-
Receive existing messages
-
Receive new messages
-
Send new messages
-
Reply to and forward messages
It is a good idea to send a short test message to another email address and then reply to it. This confirms that both incoming and outgoing email are working correctly.

Troubleshooting
The iPhone says the username or password is incorrect
Check that:
-
Your username is your complete email address
-
Your email address has been entered in lowercase
-
Your password has been entered exactly as supplied
-
Caps Lock has not caused any letters in your password to be entered incorrectly
Remember that passwords are case-sensitive.
I can receive email but cannot send email
This usually indicates a problem with the Outgoing Mail Server settings.
Check that all three outgoing server fields have been completed:
Host Name:mail.hostedemail.com
User Name:
Your complete email address
Password:
Your email account password
The outgoing mail server requires authentication. The username and password should therefore not be left blank.
Verification does not complete
Check that your iPhone has a working internet connection.
If possible, try switching between:
-
Wi-Fi
-
Mobile data
Then check the server name, username and password again before retrying.
The account already exists
Your email account may already have been added to the iPhone.
Go to:
Settings → Apps → Mail → Mail Accounts
and check the accounts already listed before attempting to add it again.
